Resigning well: notice period, handover and exit
How you leave is remembered long after you go, and it decides how smoothly you get your relieving letter and final settlement. Here is what to know before you hand in the letter.
What to include in a resignation letter
- The date, and who it is addressed to — usually your reporting manager, with HR copied.
- A clear statement that you are resigning, and from which role.
- Your notice period and your expected last working day.
- An offer to hand over your work properly.
- A short thank-you. A reason is optional — you don't owe a detailed explanation.
How notice periods work in India
Your notice period is set by your offer letter or employment contract, not by a single national rule. Thirty days is common in many companies, while 60 or 90 days is common in IT services and senior roles. Probation periods often come with a shorter notice.
The notice period starts from the day your resignation is formally submitted and accepted in the way your company requires — often through the HR portal as well as by email — so check the process before you send anything.
Leaving early: buyout, leave adjustment and early release
- Notice buyout: you (or your new employer) pay the salary for the days you don't serve. Whether this is allowed depends on company policy.
- Leave adjustment: some companies let you set remaining earned leave against the notice period.
- Early release: your manager can agree to release you sooner, often once your handover is complete. Ask politely and in writing, and give a reason such as a joining date.
A good handover
Write down what you own, where things are, what is in progress and who to contact. Transfer files and access, introduce your replacement to key contacts, and close or reassign open work. A clean handover is the strongest reference you can leave behind.
Relieving letter, experience letter and final settlement
At the end of your notice period, the company should give you a relieving letter (confirming you have been released) and an experience letter (confirming your role and dates). Your new employer may ask for both. Your full and final settlement covers pending salary, leave encashment where applicable and any dues, minus recoveries; the timeline depends on company policy, so ask HR when to expect it.
Your PF stays with your UAN — link it with your new employer so the account continues, and transfer the balance if needed.
Before you resign
- Have your new offer in writing, with the joining date.
- Read the notice period and any bond or non-solicitation clause in your contract.
- Download what you are entitled to keep, such as payslips and Form 16, while you still have access.
- Tell your manager in person or on a call first, then send the letter.
